Online bookkeeper or a local office: which suits you?




You used to pick the bookkeeper in your own town or neighbourhood, simply because you had to drop off a folder full of receipts. That era is over: your records are digital, your bank is linked and meetings happen over video calls. Yet a local office is not automatically outdated, and an online bookkeeper is not automatically better. These are the real differences.
An online firm works without an expensive high-street office and with fully digital processes: receipts via an app, bank links and returns filed directly from the software. That saves hours of manual work, and that efficiency shows in the rate. Where a traditional office often bills per hour or works with annual packages, online bookkeepers usually charge a fixed, lower monthly fee.
When comparing, watch what the rate includes. A low monthly fee that excludes the income tax return or interim questions is not cheap in the end. Always ask for a complete overview of what is and is not included.
The biggest prejudice about online bookkeeping is that it is impersonal. In practice the opposite is often true. With a good online firm you have a dedicated contact who knows your records, you message them on WhatsApp when you have a question and you schedule a video call whenever it suits you, even in the evening from your couch. Compare that with an office appointment that requires finding a gap in two calendars and getting in your car.
What can be a genuine preference: some entrepreneurs think better with someone physically at the table. If that is essential for you, a local office or an online firm that also offers in-person meetings is the better choice. There is no wrong answer; there is only what works for you.
Working digitally means your records are processed continuously instead of once per quarter. The result: at any moment you can see where you stand, how much VAT to reserve and what your profit is so far. For a freelancer who wants to steer on numbers, that is a big difference from the classic situation where you only hear months later how your quarter went.
Also practical: losing documents is a thing of the past. Your receipts and invoices are stored safely online, meet the seven-year retention requirement and can always be found by you and your bookkeeper.
Online says nothing about quality; big differences exist here too. Check whether you get a dedicated contact or speak to someone new each time, how quickly questions are answered, whether the income tax return is included and whether the firm has experience with your type of business. Reviews from other freelancers often say more than the firm's own website.
